Dealer conference engagement: 6 formats for partner and channel events

Dealer conference engagement is a different problem from engaging employees. Dealers, distributors and resellers are independent businesses. They came because the manufacturer invited them, they will judge the event against the terms they get next year, and they talk to each other at the bar far more openly than to your sales director. The interactive part of the program should give them a real voice, and give you a usable read of the channel.

A typical partner meeting runs to a familiar pattern: a morning of launches and targets on the main stage, regional breakouts in the afternoon, an awards dinner. The main stage is mostly one-way. Partners who disagree with a new policy save it for their account manager. Useful questions about stock, lead times and margins are asked by the two largest dealers, while the smaller ones stay quiet.

PULTEVENT lets every partner respond from their own phone. They scan a QR code on the stage screen and open a page in the browser branded with your logo and colors. The organizer runs the activities from a laptop and the results appear on the LED wall. There is nothing to install, but the phones and the laptop do need an internet connection, so agree the guest Wi-Fi with the venue.

6 engagement formats for dealer and partner meetings

  1. 1 Partners vote on next year's programs

List the initiatives you are considering: a regional ad campaign, demo units for showrooms, extended training for service staff, a new lead-sharing scheme. Each partner gets a points budget and spreads it across the cards. Programs rank by total, and the number of partners backing each one is shown alongside.

How to run it. Tell partners that the top result will be discussed seriously, and follow up at the next quarterly review. Otherwise the next vote will be ignored.

Partners see their input shape the plan. You get a clean ranking to justify budget decisions internally.

  2. 2 Questions to product, service and finance

Partners choose which speaker a question is for, type it and send it, with or without their name as the organizer allows. Others upvote. The moderator sorts by speaker and passes each batch to the right manager on stage.

How to run it. Allow optional names. Many dealers are happy to be identified, and a named question from a key account is useful context for your team.

Smaller dealers ask the same practical questions as the largest ones, and the most upvoted question tells you what the channel really worries about.

  3. 3 New product unveiling

At the moment the new model or range appears on screen, partners react on their phones with a set you define: want it in stock, strong seller, need pricing, unclear positioning. Emoji fly across the side screen and the proportions grow.

How to run it. Use a rate limit, for example one reaction per three seconds per phone, so the first excited minute does not distort the picture.

Product managers get a first signal on how the channel will sell the launch, straight from the people who will sell it.

  4. 4 Policy debate: two approaches

When a change in the partner program is on the table, show two options as positions, each presented by a named manager with a photo. Partners take a side, the live split moves, and a trend chart shows how the discussion shifts opinion.

How to run it. Hide the result from phones until you close the round if you expect larger dealers to sway smaller ones by speaking first.

You find out before rollout whether a change will meet resistance, and which argument reduces it.

  5. 5 Regional breakout comparison

Each regional breakout presents its conclusions on the main stage in the afternoon. Start a new reaction session for each region so every presentation has its own chart.

How to run it. Give each session the region's name in the control panel so the exported results are easy to read later.

Regional managers see how their plan landed with partners from other regions, which often sparks useful cross-regional conversations.

  6. 6 Partner's choice award

Before the awards dinner, put finalist dealers or showcase projects on cards and let partners allocate points. The partner's choice is announced alongside the awards decided by the manufacturer.

How to run it. Close the round before the dinner starts so the winner is fixed, and keep the result off the screen until the presenter announces it.

Recognition from peers carries weight in a dealer network, and it adds a moment to the evening that the manufacturer didn't script.

Partners fund the initiatives

Each dealer spreads a budget of points across co-marketing and support programs, so you see where the channel wants investment.

Questions routed to the right manager

Partners pick the product, service or finance speaker their question is for, and upvote the ones they share.

Launch reactions in real time

While a new product is unveiled, the room's reactions grow on the side screen.

Your brand, not ours

The partner page uses your logo, colors and wording, edited in the control panel without a developer.

Why partners need a quieter channel

In a hall of dealers, the loudest voices belong to the biggest accounts. That is natural, but it skews what the manufacturer hears. A phone in every hand evens this out: a small rural dealer's question gets the same chance of being upvoted as a national distributor's, and their points count the same in a vote.

Each phone counts once per round and repeat attempts are blocked by the server. If a partner's connection drops, the phone returns to the same session with the choices intact.

Setting up a partner meeting

A week before, collect the list of speakers who will take questions, the options for any policy debate, and the initiatives or finalists for the points votes, with a short description and an image for each card. Enter them in the control panel, apply your brand and rename the points currency to something that suits the audience.

On the day, the AV team connects the laptop to the LED wall and puts the stage window in full-screen mode. One person runs the control panel. The MC's script is simple: "Phones out, scan the code, nothing to install. We want your view on this."

Frequent mistakes

Asking partners to vote and then never mentioning the result again. Leaving Q&A without pre-moderation when a pricing change is on the agenda. Announcing the partner's choice before the round is closed. Forgetting to check the stage screen after lunch, when the AV crew switched inputs for a sponsor video.

International dealer networks

The partner page shows the button labels and texts you write, so you can run the event in English or adapt the wording for a regional meeting. Keep reaction labels short, since they need to fit on a phone screen next to each other.

Results, data and access

After the event, export the results for the channel team and the regional managers, then clear them. The data sits on servers in Russia; check that with your compliance team if you have dealers in regions with strict rules. There is a free 72-hour demo with no card, and after that a monthly plan or a one-time payment for lifetime access.
